What information we collect and why

We collect personal information that you provide directly to us, along with limited technical information collected automatically when you visit the site. The main ways this happens are described below.

Membership and member profiles. When you join or renew your membership, we collect the details you enter through our membership system (MemberPress). This typically includes your name and contact information, and professional or demographic details you choose to provide, such as your county or region, practice setting, employer, and license or certification number. We use this information to process and manage your membership, maintain your member profile, communicate with you about your membership, and support the work of the association.

Payments. When you pay for membership dues or register for a conference or event, payment is processed through our e-commerce and payment tools (WooCommerce/WooPayments and Stripe). Your card or bank details are collected and handled directly by the payment processor; SCASP does not store full payment card numbers on this website. We retain records of the transaction, such as what was purchased, the amount, and the date, for accounting and membership purposes.

Contact and volunteer forms. If you use our contact form, or a committee-interest or volunteer form, the information you submit (such as your name, email address, and message) is sent to SCASP by email so we can respond to you and follow up as appropriate.

Newsletter. If you sign up for our newsletter (FAST SCASP), we collect your email address and any name you provide. Newsletter sign-ups are managed through this site and delivered using our email service provider (Brevo). We use this information only to send you the newsletter and related SCASP communications. You can unsubscribe at any time using the link in any newsletter email.

Job board. If you are an employer and submit a job listing through our job board (WP Job Manager), we collect the listing details and the contact information you provide so we can review and publish the listing. Information you include in a public listing will be visible to site visitors.

Website logs and cookies. Like most websites, our hosting environment automatically records standard technical information in server logs, such as your IP address, browser type, and the pages you visit. Our site and the tools we use also set cookies. See the “Cookies” section below for more detail.

The member directory

SCASP may offer an opt-in member directory. If a directory is offered, members choose whether to be listed and what information to display. If you have opted in and later wish to be removed or to change what is shown, log in to your account or contact us and we will update your listing.

Who we share your information with

We do not sell your personal information. We share it only as needed to run the association and provide the services you request, including with the following types of service providers:

Payment processors. Stripe and WooPayments process payments for dues and event registration and handle your payment details directly.

Email delivery provider. Brevo delivers our newsletter and certain email communications on our behalf.

Website hosting. Our web host stores the site and its data on secure servers and maintains standard server logs.

These providers are permitted to use your information only to provide services to SCASP. We may also disclose information if required by law, or to protect the rights, safety, or property of SCASP, our members, or others.

Cookies

Cookies are small files placed on your device by your browser. We use cookies to keep the site working properly, remember your preferences, keep you logged in to your member account, and support secure checkout. Some cookies are set by the third-party services we use, such as our payment processor. You can control or delete cookies through your browser settings, though some features of the site, such as logging in or completing a purchase, may not work correctly without them.

How long we keep your information

We keep personal information for as long as it is needed for the purposes described in this policy. Member and membership records are generally retained for the duration of your membership and for a reasonable period afterward, so we can maintain accurate association and financial records and comply with legal and accounting obligations. Transaction records are retained as needed for accounting. Newsletter records are kept until you unsubscribe. Contact and form submissions are kept as long as needed to respond and for our records. Server logs are retained for a limited period as part of normal site operation.

Your choices and rights

Members can log in to their account at scaspweb.org/account/ to view and update their profile and contact information. If you would like to access, correct, or request deletion of the personal information we hold about you, contact us at info@scaspweb.org. We will respond within a reasonable time. Please note that we may need to retain certain information to meet legal, accounting, or membership-record obligations, and that deleting some information may end your membership or your access to member services.

You can unsubscribe from our newsletter at any time using the link at the bottom of any newsletter email, or by contacting us.

Children’s privacy

This website and our services are intended for school psychologists, related professionals, and other adults. The site is not directed to children, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or the services we offer. When we make changes, we will update the date at the top of this page.
